Welcome to SportixGo ("we," "our," or "us"). SportixGo is an academy operating system developed and operated by Pixel Dynamic Technology (NO. PENDAFTARAN: 202403191534 (PG0558827-X)). We provide a platform (the "Platform") that enables sports and activity academies to manage scheduling, attendance, billing, reporting, and parent communication. We also offer mobile applications for parents, coaches, and academy staff (collectively, the "App"). This Privacy Policy explains how we collect, use, and protect information from all users, including children under 13, in compliance with applicable data protection laws, including Malaysia's Personal Data Protection Act 2010 ("PDPA") and the Children's Online Privacy Protection Act ("COPPA").

1. Introduction

This Privacy Policy applies to the SportixGo platform, including our web dashboard, mobile applications, and all related services. SportixGo acts as a data processor on behalf of academies (the "Data Controllers") and also as a data controller for platform-level data such as account credentials and usage analytics. By using SportixGo, you agree to the collection and use of information in accordance with this policy.

2. Definitions

• Platform: The SportixGo web dashboard, mobile applications, and all related services provided by Pixel Dynamic Technology.
• Academy: A sports or activity academy that subscribes to and uses the SportixGo Platform to manage its operations.
• Personal Data: Information about an identifiable individual, such as name, email address, phone number, or location data.
• Usage Data: Non-personal information collected automatically, such as device type, IP address, and usage patterns.
• Cookies: Small files stored on your device to track activity and preferences.
• Data Controller: The Academy that determines how Personal Data is processed through the Platform.
• Data Processor: SportixGo / Pixel Dynamic Technology, which processes data on behalf of Academies.
• User: An individual who uses the Platform, including academy owners, managers, coaches, parents, or other authorized individuals.

3. Children's Privacy

We recognize the importance of protecting children's privacy and comply with COPPA. The SportixGo Platform is used by academies to manage programs for children under 13. We process children's data strictly on behalf of and under the instruction of the Academy (Data Controller).

3.1 Information We Collect from Children

Through the Platform, we process limited personal information about children under 13:

• Child's name and age
• Attendance records
• Performance assessments and coach reports
• Medical information relevant for safe participation (as provided by parents/guardians)

3.2 How We Use Children's Information

Children's personal information is processed only for:

• Managing academy registration and attendance
• Tracking progress and development
• Ensuring safety during activities
• Enabling communication between coaches and parents about their child's progress

3.3 Parental Rights and Controls

Parents and guardians have the right to:

• Review their child's personal information held on the Platform
• Request correction or deletion of their child's personal information
• Refuse further collection or use of their child's information
• Agree to collection and use of their child's information while refusing to allow disclosure to third parties

4. Information Collection and Use

4.1 Information Collected from Academy Owners / Managers

• Name, email address, and contact information
• Academy details (name, address, sport type)

• Account credentials

4.2 Information Collected from Parents

• Parent's name, email address, and contact information
• Payment information
• Account credentials
• Child's information (as described in Section 3.1)

4.3 Information Collected from Coaches

• Coach's name, email address, and contact information
• Account credentials
• Location data (GPS coordinates) when taking attendance
• Attendance records and timestamps
• Device information for security purposes

4.4 Location Data Collection

Our Platform collects location data from coaches' devices for the following purposes:

• Attendance Verification: To verify that coaches are physically present at the designated training location when taking attendance
• Security: To ensure attendance is recorded from authorized training venues only
• Compliance: To maintain accurate records for academy operations

How Location Data is Used:

• Location data is only collected when coaches actively take attendance
• GPS coordinates are stored with attendance records for verification purposes
• Location data is not used for tracking coaches outside of attendance-taking activities
• Location data is not shared with third parties except as required by law

Location Data Retention: Location data is retained only for the duration necessary to verify attendance records and comply with academy policies.

5. How We Use Your Data

SportixGo uses collected data for the following purposes:

• To provide, operate, and maintain the Platform
• To enable academies to manage scheduling, attendance, billing, and reporting
• To facilitate payments for academy services
• To enable coaches to record attendance with location verification
• To deliver coach reports and performance data to parents
• To provide customer support and resolve issues
• To analyze platform usage and improve functionality
• To send notifications, updates, and promotional information (where consented)
• To comply with legal obligations and enforce our terms

6. Sharing Your Data

We do not sell your Personal Data. However, we may share it with:

• Academies: Data collected within an Academy's account is accessible to that Academy's authorized staff (owners, managers, coaches) as part of the Platform's functionality.
• Service Providers: Payment processors (e.g., Billplz, Stripe, Razorpay), cloud hosting providers, analytics tools, and IT service providers that help us operate the Platform.
• Legal Authorities: If required by law or to protect our legal rights.

Each Academy's data is isolated through multi-tenant architecture — data from one Academy is never accessible to another Academy.

7. Data Retention

We retain your Personal Data only as long as necessary to:

• Fulfill the purposes outlined in this Privacy Policy.
• Comply with legal and regulatory requirements.

When an Academy cancels its subscription, we retain data for a reasonable period to allow data export, after which it is securely deleted. Usage Data may be retained for analytics purposes in aggregated, anonymised form.

We implement industry-standard measures to safeguard your information, including:

• Encryption of data in transit (TLS) and at rest
• Per-academy data isolation through multi-tenant architecture
• Role-based access controls
• Regular security assessments

While we strive to protect your data, no system can guarantee absolute security. Please protect your account credentials and report any suspicious activity.

9. Cookies and Tracking Technologies

We use Cookies to:

• Maintain user sessions.
• Store preferences and settings.
• Analyze platform performance and usage.
